🎤 Meeting notes · a practical guide

Your meetings don’t need their own app.

Grug is a notepad that can handle a meeting—not a meeting recorder trying to become your notepad.

Here is how recording, background transcripts, and summarization fit into the notes you already keep.

A meeting is just one more thing that happens in your notes. Jot what matters while Grug records the rest.

The basic flow

1

Open the note where the meeting belongs

Use today’s Daily Note, or a dedicated Meetings prompt if you want every conversation gathered on one page.

2

Tap record, then choose Meeting

Meeting mode is built for more than one voice. Recording runs in the background, so you can keep typing your own observations while everyone talks. Tap the microphone again when you are done.

3

Give the transcript a moment to process

The transcript is not instant. After you stop recording, Grug processes the audio and separates the speakers. When it is ready, the transcript is saved in a tab as a background note to your current note.

4

Review it, then summarize

Open the note’s ••• menu and choose Summarize. Grug uses both your notes and the background transcript to propose a polished version. Review the changes and apply them when they look right.

Your notes stay in charge

Write the minimum during the meeting. Summarize treats your quick marks as the spine of the finished note and uses the transcript to fill in what you didn’t have time to catch.

For example

During a meeting, you might type only:

Beta → Tuesday Small invite list Maya: onboarding copy Mon ?

After summarizing against the transcript, that can become:

Decision: Move the private beta from Friday to Tuesday so Support has a full prep day.

Action: Maya will deliver onboarding copy by Monday.

Open: Final size of the invite list.

Make meetings findable months later

The finished note is not trapped in a recorder app. It sits with the rest of your notes, organized by date and searchable in plain language:

  • “What did we decide about the beta launch?”
  • “Which follow-ups did Maya own last week?”
  • “When did the client first mention the billing problem?”

People, companies, and dates link to their other appearances across your notes, so a meeting becomes part of the project’s history instead of an isolated document.

A setup that stays simple

Start in Daily Notes—no system required. If meetings become a regular part of your week, add a Meetings prompt. Prefer a different finished format? Customize the Summarize task once and Grug follows your instructions from then on.

Tips for a better transcript

  • Put the microphone near the conversation. The middle of the table beats a pocket.
  • Say names out loud. “Maya, can you own that?” beats a vague “you.”
  • Check names, numbers, and deadlines. Transcription is useful, not infallible.
  • Get consent. Recording rules vary, and a good meeting starts with everyone knowing the microphone is on.

What happens to the audio?

The recording goes out for multi-speaker transcription and is deleted from storage once transcription completes. The transcript stays in your notes until you delete it. Details are in the privacy policy.

The result is deliberately boring in the best way: the meeting happens, your note gets better, and the useful parts are still there when you need them.

The meeting ends. Grug’s got the recap.
